Overview

Transaction coordinators (TCs) handle critical paperwork and deadlines in real estate transactions, ensuring compliance and smooth closings. However, our application only supported the needs of agents and not the unique workflow of their team members. To solve this, we designed a dedicated Transaction Coordinator App to centralize document management, automate reminders, and streamline collaboration with agents and sellers.

By conducting in-depth user research, we identified pain points and built an intuitive platform that reduced administrative burden, improved workflow visibility, and increased efficiency.

The Problem

Transaction coordinators juggle multiple deals simultaneously, managing contracts, disclosures, and compliance deadlines. However, their existing tools created major challenges:

  • Disorganized workflows: Critical tasks and documents were scattered across different systems.

  • Missed deadlines: No automated tracking led to compliance risks.

  • Lack of collaboration tools: Agents, TCs, and sellers had no centralized way to track progress.

  • Repetitive manual work: Entering the same information across multiple systems wasted time.

Without an efficient system, TCs spent hours manually tracking deals, increasing the risk of errors and missed deadlines. A better solution was needed to reduce workload and improve transaction oversight.

To build a tool that truly met the needs of transaction coordinators, I led a user-centered research process:

  • User interviews with TCs, agents, and brokers to understand workflows and pain points.

  • Usability testing to analyze existing systems and uncover inefficiencies.

This project reinforced the value of centralization and cross-platform communication to reduce administrative burden. By designing a tool tailored to TCs' workflows, we created an efficient, easy-to-use platform that enhanced transaction management.
